How to request a research contract

Once a grant has been awarded to Macquarie University, the Grants Team will refer the matter to the Contracts Team of the Research Office.  All awarded grants are legally required to have a signed contract in place before Macquarie University can issue a tax invoice to the funding body.

Types of Contracts:

  • Funding Related Contracts

The Contracts Team of the Research Office drafts and reviews all proposed contracts for the award or renewal or variation of a grant to ensure that the conditions are acceptable to Macquarie University. This includes ensuring the contract complies with the University's published policies available at
Policy Central.

Contract review is undertaken in conjunction with the researcher and the relevant Faculty Research Manager who are kept informed of developments.

  • Non Funded Research Contracts

The Contracts Team is also responsible for the review, negotiation and approval (signing) of research contracts relating to non-funded research activities such as non-disclosure/confidentiality agreements, data sharing and material transfer arrangements.

  • Variations/Extensions to Grant/Award Contracts

The Contracts Team liaises closely with the Post-Award section of the Grants team regarding any variations or extensions of existing Funding Agreements and Research Contracts.  These may be required due to a number of reasons including:  transfer of an academic in or out of the University, amendment of Project Description or Milestones, extension of project term or variation to funding amounts.

  • Negotiating Research Contracts

Contract review is undertaken by the Contracts Team of the Research Office in conjunction with the researcher and the relevant Faculty Research Manager who are kept informed of developments.

Once the contract has been successfully negotiated, you will be required to sign a memo confirming your understanding of and compliance with the contractual obligations contained in the contract.  If there is a commitment from the Department and Faculty (formerly committed by the Division), a confirmatory signature of the Dean and Department Head to indicate their contributions are still available will be required. 

Researchers are not permitted to sign research contracts on behalf of the University. Only the Deputy Vice-Chancellor (Research) or his approved delegate has the authority to enter into research contracts on behalf of
the University.
